Serve as the first point of contact for customers, ensuring flawless customer service. Deliver exceptional customer service with a “Concierge Mindset.” Oversee arrival & stay experience for all owners, clients and patrons. Assist Building Manager to ensure timely bill payments and collections.
List of Major Responsibilities
COMMUNITY BUILDING (RELATIONSHIP WITH PROPERTY STAKEHOLDERS & TEAM)
- Maintain strong relationships with all stakeholders through regular interactions, personalized support, and addressing their concerns promptly.
- Attend daily team meetings to ensure clear communication, task coordination, and efficient workflow.
- Attend comprehensive safety training programs for FM personnel, including first aid, fire safety, and earthquake evacuation drills to ensure expected level of performance.
ENSURE UNINTERRUPTED FM SERVICE.
- Answering phone, greeting visitors, information and referral, and taking messages as needed
- Provide administrative support for Operations Manager.
- Coordinate and schedule vendors and/or deliveries.
- Assist in planning and coordinating meetings (Amenities reserve, arrange for foods/drinks, Guest handling)
- Ensure professional appearance of common areas, including reception, community hall, etc.
- Survey facility for property conditions requiring attention and follow-up
- Complete general clerical task as assigned by supervisor.
- Run various routine errands, as required.
- Ad hoc projects as needed (i.e., supply inventory, storing and retrieving luggage, etc.)
RECORD KEEPING
Keep all property documents like; completed Checklist, Letter, Utility bills copy, meeting minutes in project file
Submit departmental reports to HOD as per regular process
TEAM DEVELOPMENT
Attend daily morning meeting with other team members and perform assign tasks.
Attend training for FM personnel on safety awareness issue (Fast Aid, Fire & Earth quack evacuation drill)
to ensure expected level of performance.
OTHER ASSIGNMENTS
Taking personal initiatives for self-development
Any assignment given by the management time to time
Regular follow-up on any communication with existing clients for any reason
Attend management or any special meeting (as and when required)

QUALIFICATION
One (1) year of experience as a Receptionist, Front Office Representative or similar role
Hands-on experience with office equipment
Proficiency in Microsoft Office Suite
Excellent verbal and written skills, combined with superior customer service skills
Multitasking and time-management skills, with the ability to prioritize tasks
Excellent organizational skills. Customer Service attitude
